Manual Workflow Challenges

Before partnering with STRMS, Avenue Event Group faced several manual workflow challenges that impacted efficiency:


3rd-Party Event Management Integration: Avenue Event Group uses a third-party event management platform called Tripleseat. However, this system was not integrated with their accounting software, QuickBooks Online. This resulted in payments being recorded in Tripleseat without the invoices being reflected in QuickBooks.


Manual Invoice Entry: Invoices had historically been manually entered into QuickBooks on a daily basis in order to match the event management platform. This process was not only time-consuming, it created a lag between when data was shown in Tripleseat and QuickBooks, while also being prone to errors, especially when matching invoices with payments processed through Stripe.


Duplicate Work: The lack of automation led to duplicated efforts in entering and matching financial data across multiple platforms. This consumed valuable time across the team and increased the risk of discrepancies and errors.

Lorien shared that the deployment process with STRMS was seamless and highly effective. The STRMS team developed detailed process maps, ensuring every aspect of the workflow was documented. This approach allowed Avenue Event Group to understand and articulate each underlying step in their processes and ensure any automation development aligned with their true processes and needs. This allowed STRMS to see any bottlenecks that could be improved, optimized, or automated. In addition, this process mapping not only solved for technical alignment, but also gave the Avenue Event Group team fully documented workflows for their business.

Elimination of Duplicate Entries: STRMS eliminated the need for duplicate data entry by automating the entry, updating, and syncing of hundreds of invoices each month between Tripleseat, Stripe, and QuickBooks Online.


Automated Email Alerts: STRMS implemented an additional email alerting system that notifies the Avenue Event Group team when a payment received does not match an invoice in QuickBooks. This proactive approach allowed Avenue Event Group to address issues or discrepancies quickly before the end-of-the-month reconciliation.
